Responsibilities
Perform administrative skills such as typing, filing, copying, faxing and answering telephones according to Four Seasons standards.
Communicate to Engineers on duty and keep a log of all details pertaining to guest calls regarding maintenance of rooms and equipment in rooms or public area in a timely manner.
Handle the calendars for the Dir of Engineering and Chief Engineering for appointments with contractors and vendors.
Be responsible for translation.
Attend relevant meeting take meeting minutes. Work out correct Meeting Minutes accordingly.
Be responsible for departmental attendance record and make sure the attendance report is correct.
Follow up departmental contracts including their payment, renewal and termination with direction of Director of Engineering and hotel policies.
Assist Dir of Engineering and Chief Engineering with purchase order system.
Maintain a clean, neat and organized work area.
Track par stocks and distribution of items from inventory.
Sourcing, pricing and reordering of materials and spare parts for the department.
Maintenance of preferred supplier records and regular checking and updating of
preferredsupplier status
Management of department attendance records, time in lieu records, and vacation records
Preferred Qualifications and Skills
Education:
University degree or equivalence
Skills and Abilities:
1.Being calm and patient and be of service passion. Team player. Being fair and responsible. Be passion and love working.
2.Requires reading, writing and oral good in the English and Chinese language
3.Requires knowledge or the ability to operate computer equipment including word processing and spreadsheet software.
4.Good knowledge of Word, Excel and PowerPoint
5.Logic, eye for details, approachable and willing to help
