We are seeking an operationally and commercially minded Manager to assist Director & Senior Manager to oversee our pre-opening FF&E procurement - sourcing section. In this role, you will manage a team of 2-4 juniors tasked with sourcing, procuring, developing competitive FF&E products, expediting sourcing and sample approval process, and applying the products/services
to huge amount of pre-opening projects simultaneously.
Beyond running the sourcing activities, this role needs to assist Director/Senior Manager to transforming the procurement function from a cost centre into a revenue-generating arm of the business. This involves leveraging vendor relationships, optimizing fee collection structures, monetizing supply chain data, and identifying ancillary service revenue streams.
What will I be doing? Position Details (bullet points)
- Support Director to manage/supervise/coach the sourcing team in GCM to deliver excellent results based on company’s direction and various brands in GCM.
- Support revenue generating business model in GCM.
- Represent HSM to communicate with internal and external stakeholders. Support Team members to communicate with internal departments, suppliers and owners/franchisees, etc.
- Assist Director to oversee FF&E sourcing activities and contracting. Ensure on-time sourcing activities.
As the FF&E Procurement Manager – GCM, you will be responsible for performing the following tasks to the highest standards:
• Team Management: Lead, mentor and develop a team of procurement professionals including Analysts and Assistants (a team of 2-4 members). Arrange and provide training to the team members regularly so the team can carry out the daily work professionally. Train the assistants on code system setting, quality inspection standards, and risk avoidance in contract issues.
• End-to-End Processing: Independently manage FF&E categories (e.g. decorative lighting, fabrics, furniture, etc) including supplier development, RFQ/RFP, negotiation and contract signing. Lead by example rather than delegating all core tasks.
• Technical Coordination: Deeply interpret design drawings and specification sheets. Identify conflicts between design intent, budget, and construction feasibility, proposing cost-effective solutions or alternative technical approaches.
• Sample Management: Oversee the mock-up process and sample approval process to ensure mass production aligns perfectly with our standard and specifications regarding material, colour and craftsmanship.
• Value Engineering: Collaborate with the design team to identify opportunities for value engineering that increase ROI for investors.
• Marketing/Events:
Periodically organize workshops/events for suppliers/owners/internal departments
• Vendor Partnerships: Cultivate a network of manufacturers and suppliers) who can consistently deliver quality products/service that meet our brand standards and agree our policies.
• Internal Stakeholder Alignments: Act as the bridge between the creative aspirations of Design teams and the commercial realities of Ownership/Finance. Keep positive relationship with Legal team to ensure our business is compliant to local and company’s policies/regulations. Proactively work with Brand Team and Operation Teams to ensure our procurement strategies align with the Brand and Operation’s strategies.
• External stakeholder Management: Manage the third party consultants/service providers (e.g. project management company, online platform provider, suppliers, etc) to ensure our procurement strategies can be executed successfully.
• Process Control: Ensure the team follows the SOP to minimize mistakes, review and adjust the process to efficient way.
• Problem-solving Support: Act as the ‘safety net’ by stepping in to resolve bottlenecks or emergencies (e.g. efficient communication with other departments, factory delays, quality issues) to keep the team on track.

A FF&E Procurement Manager – GCM, serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviors, skills, and values that follow:
• Minimum Education: Bachelor’s degree in business/ marketing/ finance/supply chain management/ interior design. MBA or Master preferred.
• Minimum Years of Experience: 7 year +
• Minimum Years of Management Experience: (if applicable) 2 years +, proven experience of managing and developing a team. Prefer to have 5+ years in finance-related environment.
• Any Licenses or Certificates Required: (if applicable) N/A
• Additional Requirements (i.e. % of travel time, etc.): (if applicable) 10-20% of travel time; proven record of organizing events independently. Prefer to have understanding of FF&E or quick learner.
• Proficiency in IT software, e.g. excel, ppt, quick learner of internal systems.

• Languages: Fluent spoken Chinese and good spoken English; Excellent commercial business writing in Chinese and English)
• Excellent negotiation and conflict resolution skills.
